Please read these guidelines carefully before you apply. Applications with missing details or photos that do not meet the rules will not move to review. It takes about 15 to 20 minutes when your photos and information are ready.

How the application works

First, read the guidelines below. Then fill in the form, add your artist details, describe each work, and paste a Google Drive or Dropbox link to the photos of each piece. You keep your images in your own Drive or Dropbox folder and share the link with us. We do not host your files, so please keep the folders live until you hear back.

You need to show at least 8 works: 5 finished original pieces that are available for sale, plus 3 earlier works (these can be sold or no longer available) so we can see how your visual language holds together over time.

Submission rules

Please read all of the points below before you begin.

Number and coherence of works

You must submit at least 5 original, finished works that are available for sale.

  • The works should feel connected: a clear link in subject, symbols, repeated elements, colour palette, technique, lived experience, or your view of the world.
  • Each work needs its own short description, but all descriptions should follow one shared statement for the group and show they are part of one line of thinking.
  • Also add photos of at least 3 earlier works. These can be sold or unavailable now. They are only used to judge how your visual language continues over time.
So the smallest number of works we need to see in one application is 8.

Originality and ownership

By applying, you confirm that you:

  • Are the original creator of every work you send.
  • Legally own the physical copy of the 5 works offered for sale.
  • Own the rights to the works, or have the legal permission needed to offer them.
  • Are not an agent, dealer, or middle person acting for someone else.
  • Clearly state any use of artificial intelligence, reference images owned by others, or help from other people.
  • Confirm the works do not break anyone's copyright, trademark, or other rights.
Printed, reproduced, or copied works must not be presented as original pieces.

Technical details for each work for sale

For each of the 5 works for sale, record separately:

  • Title of the work
  • Collection name, if any
  • Year created
  • Height, width, and depth in centimetres
  • Technique used
  • Materials and surface, for example oil on canvas
  • Art style
  • Framing status
  • Approximate weight
  • Where the piece is signed
  • Physical condition, and any damage or repair
  • City and country where the work is kept
  • Your suggested price and the currency
  • Availability status
  • Whether you can provide a Certificate of Authenticity
  • Packaging and whether international shipping is possible

Written descriptions

You will be asked to provide:

  • Artist statement: up to 200 words about your view of the world, your lived experience, your concerns, and your visual language.
  • Collection statement: up to 150 words about the shared idea of the group and how the works relate to each other.
  • Description of each work: up to 150 words about the idea, the reason you made it, its symbols, its important elements, and how it fits the group.
Please avoid general lines like "this work shows my feelings." Say what experience, question, concern, or point of view the work came from.

Main photo of each work

For each of the 5 works for sale, take one main photo that follows these rules:

  • Fully straight and flat, with no angle.
  • Camera directly in front of the centre of the work and parallel to its surface.
  • All four edges of the work fully visible and not cut off.
  • Vertical and horizontal lines straight, with no distortion.
  • Even, neutral light, ideally around 5000 to 5500K colour temperature.
  • No shadows, glare, reflections, colour shifts, or warm light on the work.
  • No decorative frame, decor, hands, people, text, filters, or watermarks.
  • Colours as close as possible to the real physical work.
  • No digital zoom, beauty filters, or heavy editing.

Detail photos

For each of the 5 works for sale, send at least 5 different detail photos.

  • Show texture, brushwork, paint layers, important elements, the signature, and the quality of the work.
  • Keep the lens about 30 cm from the surface and the camera parallel to it.
  • Do not use digital zoom. Each photo must be sharp and steady.
  • If the camera cannot focus at 30 cm, move back only as far as needed.
  • Each photo should show a different, meaningful part of the work.
  • Also add one photo of the back of the work and one clear photo of the signature.

File requirements

  • Allowed formats: JPG, JPEG, or PNG
  • Colour space: sRGB
  • Longest side at least 3000 pixels
  • Suggested longest side: 4000 to 6000 pixels
  • Maximum size per file: 20 MB
Do not use screenshots, images compressed by social media, or photos sent through messaging apps. Blurry, dark, noisy, shadowed, reflected, or distorted photos are not accepted. Do not upload AI-generated or rebuilt images in place of a real photo of the physical work.

Details for the 3 earlier works

For each of the 3 earlier works, record:

  • Title of the work
  • Year created
  • Dimensions
  • Technique and materials
  • Current status: available, sold, or unavailable
  • A short note on how it relates to your other works
  • One complete, high-quality photo

Final confirmation

Before you send the application, you will confirm that:

  • All information is correct and complete.
  • You are the creator and legal owner of the works shown.
  • The photos are true images of the real physical works.
  • The works do not break the rights of any third party.
  • The 5 works shown are available for sale at the time you apply.
  • Applying does not mean the collaboration is accepted.
  • VanArtHub may review your information and images to assess the application.
  • If we accept the first review, we may ask for more photos, a video of the work, a Certificate of Authenticity, or an online meeting to see the works.

Right and wrong photos

The main photo of each work decides whether we can judge it. Use the correct example as your guide.
